Volue is looking for Executive Assistant (EA) who will be responsible for providing high-level administrative and organisational support to the CFO and other members of the Executive team. In addition, the role will serve as Office Manager for Volue’s office in Trondheim, Norway.
The EA will work independently with limited supervision and will play a key role in ensuring effective daily operations for the CFO, the Executive Leadership Team (ELT), and the Trondheim office. The position requires strong organisational skills, attention to detail, and the ability to manage multiple priorities in a dynamic environment. The expected results are set by the yearly action plans.
What you will be doing to make a difference:
Proactively manage the CFO’s calendar, including scheduling meetings, coordinating logistics, and arranging travel and other practical matters to support effective operations
Plan, organise, and coordinate Executive Leadership Team meetings, Board of Directors meetings, internal and external events involving the CFO
Prepare, gather, and quality-assure documentation and materials for executive and board meetings
Draft and manage memos, invoice letters, correspondence, and other administrative documents
Manage incoming communication and provide administrative support to the Executive Leadership Team
File, retrieve, and maintain corporate records, documents, and reports
Keep track of corporate governance documents and reporting to official governments across the Volue Group
Plan and coordinate internal events and contribute to administrative activities across the headquarters and other locations within Volue
Contribute to group-wide administrative responsibilities, supporting efficient operations and operational excellence
Act as Head of Administration for the Trondheim office, ensuring the office is run and maintained effectively
Provide a professional, welcoming, and attractive office environment for visitors and Volue employees
What you need to succeed:
A degree in administration or a related field is desirable
Relevant documented experience and proven organisational management skills may compensate for formal education
Strong administrative and organisational skills, with the ability to multitask, prioritise, and manage time effectively
Understanding of financial and economic principles, with the ability to interpret basic financial information
Excellent attention to detail, both in office management and in planning the CFO’s workday
Strong strategic planning and coordination abilities
Fluent in English, both written and verbal
Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)
Customer-oriented with a commercial mindset
Personal skills:
Dynamic, hardworking, and able to work independently with limited day-to-day supervision
Enjoys solving complex calendar scheduling challenges and handling a wide range of administrative tasks
High level of discretion and integrity
Proactive, self-driven, and reliable
Strong organisational skills with excellent attention to detail
Calm and solution-oriented under pressure
Flexible and adaptable in a dynamic environment
Professional communicator and confident stakeholder manager
